1. Agreement to Terms

By booking an appointment with Belfast Head Spa ("we," "us," "our," or "the business"), you agree to be bound by these Terms & Conditions. These terms govern your use of our services and website. If you do not agree with any part of these terms, you must not proceed with booking or using our services.

2. Our Services

Belfast Head Spa offers the following treatments:

• Japanese Head Spa
• OxyGeneo Facial
• Indian Head Massage
• Teenager Head Spa
• Holistic Experiences (Glow & Flow, Deep Relaxation, Ultimate Renewal, Teen Glow)

All treatments are carried out at Kings House, 39–41 High Street, Holywood BT18 9AB. Services are provided by Karolina, a fully qualified Japanese Head Spa therapist and Indian Head Massage practitioner.

3. Booking & Payment

Payment:

• Full payment is required at the time of booking
• We accept card payment online, including Apple Pay and Google Pay where your device offers them
• Payments are processed securely through Stripe

Confirmation: You will receive a booking confirmation via email or your preferred contact method.

4. Health Screening & Medical Contraindications

Before your appointment, you must complete our health screening questionnaire. Your health and safety are our priority.

Avoid or postpone treatment if you have:

• Open wounds, cuts, or infections on your scalp
• Severe dandruff, eczema, psoriasis, or other active scalp conditions
• Recent head, neck, or facial surgery or injury (within the past 2–4 weeks)
• Migraine, fever, or acute illness on the day of your appointment
• Untreated high blood pressure, heart conditions, or circulation issues (consult your doctor first)
• First trimester of pregnancy (treatments can be adjusted after the first trimester—please discuss with Karolina)
• Hair extensions (unsuitable due to risk of damage to bonds)

If unsure about any condition, contact us before booking.

Assumption of Risk & Health Waiver

• You have disclosed all relevant health conditions, medications, allergies, and contraindications truthfully.
• You have read and understood the health screening information.
• You assume all health risks associated with treatment.
• Japanese Head Spa, OxyGeneo, and Indian Head Massage are wellness treatments, not medical treatments.
• You release Belfast Head Spa and Karolina from liability for complications arising from treatment, provided there is no negligence.
• If pregnant, have a medical condition, or are unsure, consult your GP before booking.

5. Cancellation, Rescheduling & Refunds

More than 24 hours’ notice:

• Full refund, or reschedule to another available time slot
• No fee applies

Less than 24 hours’ notice or no-show:

• Payment is forfeited
• No refund is issued

We appreciate your respect for our time and other clients.

6. Late Arrivals

Please arrive on time; if you are more than a few minutes late, we’ll do our best to accommodate you. Depending on the schedule, we may need to shorten the treatment or reschedule to respect other clients’ bookings. We’ll always try to help where we can.

7. What to Expect During Your Appointment

Duration: Most treatments last 40-90 minutes, depending on the package.

Preparation (summary):

• Come with dry hair (not freshly washed); avoid heavy styling products
• Wear comfortable, loose-fitting clothing
• Remove jewellery and hair accessories
• Arrive a few minutes early to settle in

During treatment: You remain fully clothed; session includes consultation, cleansing, massage, and aftercare advice.

Aftercare: Karolina provides simple at-home care tips following treatment.

8. Minors & Parental Consent

Treatments are available for teenagers (ages 13–17) through Teenager Head Spa and Teen Glow.

• We may require written parental/guardian consent.
• We may require a parent or guardian to be present.
• Health screening must be completed by the parent/guardian.
• The parent/guardian is responsible for accurate health information.

9. Photography, Videos & Testimonials

We never photograph, video, or collect testimonials without explicit written consent at the time of collection.

• You can revoke consent at any time.
• We use images professionally and respectfully.
• You can request anonymity (first name only, blurred images, etc.).

10. Limitation of Liability

Belfast Head Spa and Karolina are not responsible for allergic reactions, aggravated pre-existing conditions, loss/damage to belongings, complications from non-disclosure, or treatment effectiveness/results. These wellness treatments are not medical and are not intended to diagnose, treat, cure, or prevent disease.

11. Intellectual Property & User Content

All website content (text, images, designs, videos) is owned by Belfast Head Spa or licensors and protected by copyright. You may not copy, reproduce, or distribute without written permission.

12. Modifications to Terms

We may modify these Terms & Conditions at any time. Changes will be posted with an updated "Last Updated" date. Continued use after changes constitutes acceptance.

13. Governing Law & Jurisdiction

Governed by the laws of Northern Ireland and the United Kingdom. Both parties consent to exclusive jurisdiction of the courts in Belfast, Northern Ireland.

14. Dispute Resolution

If you have a complaint or concern, contact us first. We respond within 5 working days with a resolution or explanation. If unresolved, either party may pursue legal action under applicable UK law.
